An administrator does this for each function. The function is chosen on the user. See How to add a user and how to change a password.
- Open Settings, then Functions.
- Open the function and choose Edit.
- Under Hidden field groups, tick the field groups that should not be shown for this function. A ticked group hides every field in that group.
- Under Hidden fields, tick individual fields that should not be shown. A ticked field is hidden in every target market.
- Under Field groups with write access, tick the field groups this function may edit. A field group that is not ticked is shown read-only.
- Choose Save. The person sees the change the next time they log in.
Run a field scan
An administrator or a superuser can replace Hidden field groups and Hidden fields from the products already stored. The scan does not change Field groups with write access or the description.
- Open the function and choose Edit.
- Open the menu button at the top of the function. It shows horizontal lines.
- Choose Run field scan and update hidden field groups and fields.
- Confirm Replace hidden field groups and fields based on a scan of all products?
- Wait until the scan finishes. It saves the function. The person sees the change the next time they log in.
The scan looks at every product. A field counts as in use when any product stores a value for it. A value in a grid row counts for that field. A field used in one target market stays visible in every target market. A field that is not used is hidden in every target market.
A field group is hidden when none of its fields are in use. These fields always stay visible: D8165, D8255, D8276, D8256, D8258, D8259, D8270 and D8249. System fields whose names start with X are not hidden one by one.
The scan replaces both lists. Ticks you made earlier in Hidden field groups and Hidden fields are replaced.
